Classrooms and Reservation Requests

The Office of the Registrar manages scheduling and physical features for UC Santa Cruz’s 87 General Assignment classrooms. When not in use for instruction, these rooms may be reserved at no cost for campus-sponsored events. Academic classes always take priority, so availability may be limited—especially on weekdays. This page outlines who can reserve, when, and how to submit a request.

Classroom Access & Unlocking

During the academic quarter, classrooms are unlocked on a regular schedule

  • Weekdays (Mon–Thurs 8 AM–11 PM; Fri 8 AM–5:05 PM):
    Classrooms should be unlocked during scheduled hours.
  • Weekends (Fri 5:20 PM-11 PM; Sat / Sun 8 AM-11 PM):
    Rooms are unlocked by Custodial Services based on approved reservations.
  • Is your classroom locked?

    • Evenings/Weekends: Call Campus Dispatch: 831-459-4861
    • Please note that the Registrar’s Office does not have keys to classrooms nor issues keys to organizers. Call the numbers above if the reserved classroom room is unexpectedly locked.

UCSC Classroom Reservation Guidelines

Please ensure all event organizers are aware of these guidelines to facilitate a smooth reservation process.

Who Can Reserve:

  • UCSC staff and faculty. Must have event sponsorship from a UCSC department or office. 
  • Teaching Assistants for review sessions.
  • Student organizations Registered with the Dean of Students, Athletics & Recreation, or SOMeCA.

Reservation Hours:

  • General Assignment Classrooms are available for reservation between 8:00 AM and 11:00 PM.
  • Classrooms are closed to all events during holidays and campus closures.

Weekend Reservations:

  • Most weekend requests may be approved, except during Commencement Weekend (June), Welcome / Orientation Weeks in September, campus closures, and holidays.
  • Requests for the immediate weekend received after 12:00 PM on the prior Friday (or the prior business day if there’s a holiday) will be rejected.

Blackout Periods (No Reservations Allowed):

  • First two weeks of instruction (Fall, Winter, Spring)
  • Final exam week (reservations open for ad hoc scheduling in Week 8 or 9)
  • Pre-Fall / Welcome Weeks (two weeks prior to Fall instruction), contact orientation@ucsc.edu
  • Commencement Weekend (mid-June, Fri–Mon)
  • First week of Summer Session instruction
  • Holidays and Campus closures
  • Library closed hours (impacts library classrooms)
  • Conference Services Reservations – many classrooms during Summer Session may only be scheduled through Conference Services

Additional Guidelines:

  • Media Support:
  • Food and Drink: No food or drink allowed in classrooms; strictly prohibited in library classrooms (McHenry 1340, McHenry 1350, Sci & Eng 206).
  • Library Classrooms: Scheduling in Sci & Eng Library 206, McHenry 1340, and McHenry 1350 is limited to instructors and TAs for class-related events, and staff for official unit events.
  • Usage Restrictions: Classrooms may not be used for personal office hours or TA hours.

Finding the Right Classroom and Time

We use Coursedog Events to schedule classroom reservations. The reservation form allows the requestor find a classroom based on the meeting time.

  • Tips for searching in the Reservation Form:
    • After entering the date and times of your event, check out the available classrooms paying attention to the seating capacity, or search by room number or the first two letters of the room name.
    • Use the Features to filter for physical room features (e.g., “moveable chairs,” or a specific areas of campus).
  • Room Not Available?
    • A room may not be available due to a scheduling conflict.
    • Try adjusting your date/time or choose a different room.
    • In Fall/Winter/Spring try scheduling during the approved teaching time blocks to avoid conflicts with classes!
    • Make sure your start and end days are the same day. The reservation system will prevent scheduling overnight.
    • Summer consideration: During Summer Session, some classrooms are managed by Conference Services.

How do you schedule recurring events? (i.e. meets every Wednesday)

For events meeting regularly (e.g., every Saturday), use the “Repeat” option:

  • Set the frequency (usually “weekly”).
  • Use the “Ends” field to specify the final meeting date.
  • Avoid using “meets after x times.”
Where can I see all 87 General Assignment classrooms, physical features, and classroom calendars?

General Assignment classroom sizes, seating, physical features, technology features, and individual room calendars are available at https://classrooms.ucsc.edu/.

Can I see what’s scheduled in General Assignment Classrooms?

The page for each classroom on classrooms.ucsc.edu includes a link to the individual calendar for each room. A calendar view of all GA classrooms may be accessed at the link bit.ly/GAclassroomcalendar.
